A visa consultancy was losing cases not to embassies, but to WhatsApp. Documents in five chat threads, deadlines in someone's head, status updates by phone call. We gave the operation an operating system.

The brief
Yön Group guides students into universities across Germany, Canada, the UK, the US and Australia. Ten years of expertise, thousands of applicants — and a workflow held together by chat apps and folders named 'FINAL_v3'. Every consultant carried case state in their memory. Scaling the team meant multiplying the chaos.
The build
We shipped a platform that treats every application like a tracked shipment: a client portal where students upload documents once, a workflow engine that knows which embassy wants what and when, and automated case management that nudges the right person before a deadline becomes an emergency. Consultants see a pipeline, not a pile.
The payoff
The team now works from one pipeline instead of scattered chats. New consultants onboard onto a system instead of into a chat history. And students refresh a status page instead of calling the office — which turns out to be good for everyone's nerves.
